This page outlines our clinic policies, which help guide our practice and support your care. We recommend taking a few minutes to review them so you feel comfortable and informed before your session.
privacy policy - Confidentiality and Release of Information
At Brilliant Minds Psychology, your privacy and confidentiality are our top priorities. This policy explains how we collect, use, store, and protect your personal information in accordance with the Commonwealth Privacy Act 1988 and the Australian Privacy Principles (APPs). Why We Collect Information As part of providing quality psychological services, your clinician will need to collect personal information that is relevant to your current situation. This information helps your clinician understand your needs and provide appropriate assessment, diagnosis, and treatment. We collect this information to:- Understand your background and presenting concerns- Guide assessment, therapy, and recommendations- Keep accurate and relevant clinical records How Information Is Collected and Stored-Your clinician will gather information through discussions with you (and/or your child), questionnaires, or formal assessments. If information from other professionals (e.g., teachers, doctors) is needed, we will always ask for your written/verbal consent first.- All information is securely stored in an electronic client file under the safest conditions available, in line with Australian privacy laws.- The information we hold about you (and/or your child) is used only for the purpose of supporting your therapy or assessment. Confidentiality: When Information Can Be SharedAll personal information gathered by your clinician remains confidential and secure. Information will only be shared in the following circumstances:- Legal Requirement: If the information is subpoenaed by a court.- Safety Concerns: If failure to disclose information would place you or someone else at serious and imminent risk of harm. - If Required or Authorised by Law e.g., Subpoena
With Your Consent:- To provide a written report to another professional or agency (e.g., your GP or lawyer).- To communicate with another person involved in your care (e.g., a parent, teacher, or employer).- When referred under a Mental Health Care Plan (MHCP) or Enhanced Primary Care Plan (Chronic Disease Management Plan), your psychologist is required to send a brief update to your GP outlining your progress and diagnosis.
Accessing Your Information
You have the right to access the information held about you, except in circumstances where doing so may pose a serious threat to life, health, or safety.
If you wish to access your records:- Please submit your request in writing to info@brilliantmindspsychology.com.au
Your clinician may invite you to discuss the information in person to ensure it is interpreted correctly. A fee may apply for preparing summaries or reports, as this takes additional clinician time. Please note: For children attending therapy, the child is considered the client. Access to their records requires the child’s consent.
Some materials, such as psychological test forms or scoring sheets, are protected by copyright and cannot be released.
Your Rights- You can ask questions about how your information is collected, used, or stored at any time. - You can request corrections if you believe any information we hold about you is inaccurate.- You have the right to confidentiality and informed consent in all aspects of your care.
Non-Emergency Service Policy
Brilliant Minds Psychology and Occupational Therapy operates as a private practice and, as such, does not offer phone support or crisis intervention between scheduled sessions. Please be advised that our practice is not equipped to handle high-risk clients and does not provide Emergency Appointments or function as a crisis centre.
Emergency Procedures and Contact InformationFor any emergencies, please take immediate action by contacting 000 or visiting the emergency department at your local hospital. In addition, the following resources are available for support:- Emergency Situations: Dial 000 for immediate emergency response services or visit the emergency department at your local hospital.- Local Public Mental Health Services: 1300 MH CALL (1300 64 22 55)- The Acute Response Team (Children's Hospital Queensland, 24/7): (07) 3068 2550- General Practitioner (GP): Seek a referral to an appropriate service.- Beyond Blue: 1300 22 4636- Kids Helpline (for individuals under 25): 1800 55 1800- Parentline Queensland: 1300 30 1300- Domestic Violence Information Line: 1800 811 811- Lifeline: 13 11 14- Mensline Australia: 1300 78 99 78- Suicide Call Back Service: 1300 659 467 More Services: Click Here Appointment Scheduling and AvailabilityBrilliant Minds Psychology’s phone support is not available between sessions. Should additional appointments be necessary, clients are encouraged to schedule these with their designated psychologist. If our practice is at full capacity, clients may request to be placed on a priority cancellation list for potential availability of extra appointments. Client AcknowledgmentBy receiving services at BMP, you acknowledge that Brilliant Minds Psychology does not provide emergency services and that immediate assistance should be sought through contacting 000. Your safety and well-being are of paramount importance, and we encourage you to utilise the appropriate resources for immediate support as needed.
how appointments work at brilliant minds and Cancellation Policy
All regular therapy appointments are 50 minutes in duration unless otherwise specified. At Brilliant Minds Psychology we aim to provide consistent and reliable care for all our clients. To support ongoing progress, your clinician will book a regular stream of appointments for you or your child (unless you have stated you prefer cancellation basis or as needed basis). A schedule of your upcoming appointments will be sent to you once your sessions are arranged. These appointments are reserved specifically for you and remain booked unless you cancel. Please note that not confirming an appointment does not mean it has been cancelled your spot is still being held for you. Notice Period of CancellationsWe require a minimum of 48 hours’ notice across two business days to cancel or reschedule an appointment. This means that for Monday appointments, cancellations must be made by end of day Wednesday. A ‘business day’ is any normal weekday (Monday to Friday) from 9:00 AM to 5:00 PM, excluding public holidays or office closure periods.
If you need to cancel or reschedule, please contact our reception by phone, leave a voice message, or send an email as soon as possible. Providing sufficient notice allows us to offer the appointment to another client in need. To help you manage your appointments, we send an SMS reminder four to five days prior to your scheduled session. If we do not receive a response, we will attempt to contact you via phone. However, it is ultimately your responsibility to be aware of your booked appointments.Email reminders are also sent 24 hours prior.
- Less than 48 business hours’ notice (including no-shows): 100% of the full session fee- 48 hours – 7+ days’ notice: No charge- Please note: Cancellation fees are not claimable under Medicare, Work Cover, or Private Health Insurance. If, for some reason you need to cancel or reschedule your appointment, please give reception a call/leave a voice message or send an e-mail as soon as possible. We value you as a client and we also value the time of the clinicians who spend time preparing for your sessions. If you are unable to attend an appointment, please contact us prior to the 48 hour window and in advance where possible. This allows us to offer the consultation to another client. We require at least 48 Hours across 2 business days notice of cancellation.
A late cancellation/missed appointment, is a loss to three people: (1) the client who is delaying their therapy progress, (2) another client who has been sitting on the waitlist to see the clinician urgently and (3) the clinician who spent time preparing for the session. An SMS text reminder is send three days prior to your appointment to remind you of your appointment. We will contact you via phone if we do not receive a response from the SMS confirmation. Please note it is your responsibility to be aware of your booked appointments.
Please note our cancellation policy is enforced. As part of our clinic policy, after three consecutive cancellations, any remaining appointments are cancelled. By receiving services at Brilliant Minds, the client agrees to contact Brilliant Minds Psychology if they are unable to attend an appointment. The client also agrees to comply with the cancellation policy and understand that they are responsible for payment of a cancellation fee for all missed sessions where they have not provided sufficient notice except those waived by the service. Cancellation fee's cannot be claimed under Medicare, Work Cover nor private health insurance.
As part of the service at BMP, you will receive SMS appointment reminders sent to the primary phone number on file. If you would like to add an additional number or opt out of receiving these reminders, please contact us via email at info@brilliantmindspsychology.com.au.
Payment Policy
Full payment is required at the time of the appointment. This is processed automatically for you via our secure payment portal. We are unable to book further appointments until the account is settled. Clients run the risk of their appointments being removed /cancelled due to unpaid accounts. We are not a Bulk Billing Service. We have Eftpos and Medicare facilities. We accept NDIS Self and Plan Managed Clients. Clinic fees are subject to change. Late Payment FeesAny late payments run the risk of a 5% late fee being applied to the service fee per each week the payment has not been made.If we do not receive payment or make multiple attempts to contact you for payment with no success, we will refer your account to our debt collection service. Nonpayment will result in service termination and debt collection.
Request for Reports & AssessmentsFull payment is required when a report is requested in order for us to proceed. We do not start the assessment process or report writing process until the requested report is fully paid for.
Medicare PoliciesIf you are under a Mental Health Care Plan, please note that if you are late to an appointment, you may not be able to claim a Medicare rebate. This is as per Medicare's Item Number policies.We will be unable to claim Medicare rebates if the client is not present at the session. For sessions in which the child is not present, you will only be able to claim a maximum of up to two family carer sessions. This is still using the total 10. Alternatively, attendance at sessions without the child (client) must be paid for out of pocket or under private health. In such circumstances, it is essential to verify with your particular health fund. Some private health funds could offer a rebate.
Zero Tolerance for Abuse
Our team is committed to delivering services within a secure and psychologically safe environment. We hold a duty of care not only to our team members but also to all clients who access our services, ensuring the safety and well-being of everyone involved. As part of maintaining this environment, we do not tolerate antisocial behaviour. Any individuals found engaging in the following conduct will regrettably be denied services at our clinic:
Our practice policy dictates that we maintain the right to refuse service to anyone displaying:
1. Abusive Behaviour: This includes but is not limited to aggressive verbal communication, yelling, insults, slamming doors, written threats, and any aggressive non-verbal behaviours.2. Intimidation or Humiliation: Any conduct that intimidates, humiliates, or involves threatening emails or actions.3. Harassment: Any intimidating or harassing behaviour directed towards our team members or other clients.4. Threats: Any form of verbal or nonverbal aggression directed towards our team members or other clientele is strictly prohibited.5. Unrealistic Demands: Persistent or unrealistic demands that result in stress to our staff will not be accepted.6. Property Damage or Theft: Causing damage or stealing from the practice's premises, staff, or patients. Any actions resulting in property damage.
We maintain the unequivocal right to refuse service to individuals who compromise the physical or psychological safety of our staff. Our commitment is to foster a kind and welcoming environment, and there is no justification for aggressive behaviour.
We emphasise: There is absolutely no excuse for abusive or threatening behaviour. THERE IS ZERO TOLERANCE FOR ABUSE!
Family Law Legislation
Brilliant Minds Psychology does not serve as a mediator in cases involving court proceedings or mediation between parents. We do not provide court reports. If there is a court order concerning shared parental responsibility, consent from both parents is required before therapy services can commence. Please be advised that, as per the Family Law Amendment Act 2023 (Cth), the presumption of equal shared parental responsibility has been removed when the safety of the child is at risk. This amendment applies to court orders issued from 6 May 2024 onwards.
At Brilliant Minds Psychology, our primary focus is the safety and well-being of the children we serve. We are committed to ensuring that their safety is always a top priority and that their best interests are upheld. We support the right of children to maintain meaningful relationships with both parents, provided that such relationships are in the child's best interest and is safe to do so.
In accordance with Article 12 of the Convention on the Rights of the Child (CRC), children capable of forming their own views have the right to express those views freely on all matters affecting them. These views shall be given due weight, in accordance with the child’s age and maturity.
If you wish to exclude another parent from being involved in the therapy process due to risk to your child, we strongly recommend seeking legal counsel to address this matter appropriately.

Article 16 of the United Nations Convention on the Rights of the Child (UNCRC) underscores the critical importance of safeguarding children's privacy and ensuring their safety. This article stipulates: No child shall be subjected to arbitrary or unlawful interference with their privacy, family, home, or correspondence, nor shall they face unlawful attacks on their honour and reputation. Children are entitled to legal protection against such interference or attacks. In practical terms, this means that children have the right to:- A private family life- A personal space for solitude- Confidentiality in healthcare settings- Protection of private personal information at educational institutions- Privacy in their communications, including phone calls and emails In Australia, these rights are supported by The Privacy Act 1988, which governs the handling of personal information and underscores the significance of confidentiality, particularly concerning children's data. The Privacy Act ensures that all personal information, including medical details, residence, date of birth, and other identifying information, remains confidential. This legal framework guarantees that any information disclosed by a child is securely protected, maintaining their privacy and safety.
As a parent or guardian, if you need to request information about your child/adolescent, we will require an understanding of your child’s Gillick competence to release information to you. Gillick competence is the capacity of a minor to make their own decisions regarding their medical care and other important matters, and it helps us ensure that their privacy and autonomy are appropriately respected.
recording policy
At Brilliant Minds Psychology, we are committed to maintaining the privacy, confidentiality, and safety of all clients, families, and clinicians.
Clients, families, and visitors are strictly prohibited from recording any part of a therapy session whether conducted in-person or via telehealth—without prior written consent from the treating clinician. This includes the use of any recording-capable device, such as:- Mobile phones- Smartwatches- Laptops or tablets- Wearable or other digital technology
All therapy sessions at Brilliant Minds Psychology are confidential. Recording sessions without consent is a serious breach of privacy and professional boundaries. Any unauthorised recording may result in the suspension or termination of services.
In some instances, a clinician may request to record a session for purposes such as:- Ensuring clinical accuracy- Professional supervision- Training or skill developmentThese recordings will only occur with the client’s informed written and verbal consent. All recordings are handled securely in accordance with relevant privacy legislation and ethical standards.
Recordings are:- Permanently deleted within 30 days- Not used for any other purpose without explicit additional consent

Use of Artificial Intelligence (AI) Tools in Clinical Practice
At Brilliant Minds Psychology, your privacy, confidentiality, and quality of care are always our top priorities. In some cases, our clinicians may use secure Artificial Intelligence (AI) tools to assist with administrative or educational aspects of their work. Purpose of AI UseAI tools may occasionally be used to support clinicians with:- Summarising or organising clinical notes- Preparing educational or therapy resources- Improving written communication or documentationThese tools are used solely to support clinical efficiency and accuracy—never to replace a clinician’s professional judgement or decision-making. Clinician Discretion and Consent The use of AI is always at the individual clinician’s discretion. If a clinician intends to use AI in relation to your or your child’s care, they will: - Inform you beforehand, and Obtain your informed consent prior to using these tools.You are welcome to decline the use of AI tools at any time. Secure, Closed-System AI ToolsClinicians may use secure, closed-system AI platforms, such as BizzyAI or PatientNotes, which are specifically designed for clinical environments.These systems:- Are encrypted and secure- Do not store or learn from client data- Comply with Australian privacy and data protection standardsAny information generated through these tools is reviewed and finalised by the clinician to ensure accuracy and appropriateness. Open AI ToolsOccasionally, clinicians may use open AI tools (for example, ChatGPT, developed by OpenAI) to draft general, non-identifiable resources such as psychoeducation materials or client handouts. No identifying or sensitive client information is ever entered into open AI systems. These tools are used only for idea generation or general writing support not for clinical decisions or record keeping. Privacy and Professional StandardsAll use of AI within Brilliant Minds Psychology is guided by:- The Commonwealth Privacy Act 1988- The Australian Privacy Principles (APPs)- The APS Code of Ethics and other professional standards
Your privacy, confidentiality, and trust remain central to our practice.If you prefer that your clinician not use any AI tools in your care, please let them know, your wishes will always be respected.

At Brilliant Minds Psychology, our Sensory Room is designed to provide a safe, engaging, and therapeutic environment that supports sensory exploration, regulation, and development. To keep everyone safe, we ask all clients, parents, and caregivers to review the following information before using the Sensory Room. By entering or allowing your child to use the Sensory Room, you acknowledge that:- You accept responsibility for yourself and/or your child while participating in activities within the Sensory Room.- You understand that participation involves some level of physical activity and carries a small risk of injury.- You confirm that there are no known medical or health reasons that would prevent safe participation.
Our clinicians work carefully to ensure that the environment is safe and supportive. However, the Sensory Room includes equipment such as:- A trampoline- Crash mats- Monkey bars - Swings- A climbing wall - Lycra Cloud - Ball Pit - Other sensory or play-based tools
As with any physical activity, minor bumps or falls can occur. We take every precaution to minimise risk and maintain safety at all times. Occasionally, a clinician may need to physically assist you or your child to ensure safety or to help guide movement. Physical assistance is always kept to a minimum.Your clinician will discuss this with you beforehand and obtain consent before providing any physical support.
By participating in or allowing your child to participate in Sensory Room activities, you agree to:- Accept all associated risks, including the possibility of injury.- Release and hold harmless Brilliant Minds Psychology Pty Ltd and its staff from any liability for injury, loss, or damage that may occur while using the Sensory Room.
If you have any questions or would like to discuss the Sensory Room environment or safety measures in more detail, please speak with your clinician before your session.
Consent To Share Information Within The Brilliant Minds Psychology Team With Health Professionals
At Brilliant Minds Psychology, we take a collaborative approach to care. Sometimes, sharing information between our qualified health professionals helps us provide the most effective and well-rounded support for you or your child.
Purpose of Information Sharing: With your consent, relevant and confidential information such as case notes, assessment results, or therapy goals may be shared between members of our clinical team. This may include professionals from:- Psychology- Speech Pathology- Occupational Therapy- Other team members or clinical supervisors as appropriate
Sharing information within the team allows our clinicians to:- Coordinate care effectively- Monitor progress across disciplines- Ensure consistency in goals and therapeutic approaches Information may be shared through:- Case notes and updates within your secure client file- Case discussions or case conferences between team members and supervisors
If a case conference is recommended as part of your care, any associated fees will be discussed with you in advance.
Your Rights and ConsentInformation is only shared with your informed consent.Your clinician will explain how your information is collected, used, and shared before any information exchange occurs.You may withdraw or change your consent to share information at any time.
All information is managed in accordance with the Privacy Act 1988 (Cth) and relevant professional codes of ethics.
provisional psychology services
A Provisional Psychologist is a psychology graduate who is currently completing their final stage of supervised practice before becoming fully registered as a psychologist in Australia.
Provisional Psychologists are:- Registered with AHPRA (Australian Health Practitioner Regulation Agency) and meet all regulatory requirements under the Psychology Board of Australia.- Required to practice under strict supervision by a fully registered and experienced psychologist.- Engaged in ongoing professional development and training to ensure high-quality, ethical, and evidence-based care.
At our clinic, Provisional Psychologists are carefully selected and supported by experienced supervisors to ensure they provide safe, effective, and professional services to clients. They work across a range of presentations and age groups, and their sessions may be more affordable than those with fully registered psychologists.
Please note: Medicare rebates or Private Health Insurance rebates are not available for sessions with Provisional Psychologists.
Third-Party Payments and Confidentiality
Sometimes, someone else (such as a parent, family member, organisation or employer) may help pay for your sessions. Even when this happens, your therapy information remains confidential.
Those contributing financially are not entitled to access your personal or clinical information unless you provide written consent.
Your psychologist will not share any details about your sessions without your permission, except where required by law (e.g., risk of harm or legal obligation).
By proceeding with therapy, you acknowledge that you understand these limits to third-party disclosure.
Clinician Time Fees: Letter Writing & Phone Calls
At Brilliant Minds Psychology, all time spent with a clinician, including appointments, phone calls, emails, and preparation time, is charged. This ensures we can provide the highest level of care and attention to each client. Scheduled Appointments: All in-person, phone, and online sessions are billed Additional Time: Time for follow-up tasks, report writing, or case preparation outside of appointments will also be charged.- Pre-scheduled Communication: Any communication such as email correspondence outside of regular sessions must be arranged in advance and will incur a charge. For transparency, all charges will be communicated to you in advance, and our admin team is available to answer any questions about billing. Please note that our clinicians do not typically communicate with clients via email. You are welcome to send information to the clinic, and we can pass it on to your clinician to read at your next appointment however, there is no guarantee that your message will be reviewed or responded to before then. Clinicians are not available outside of scheduled session times.
Parent/Legal-Guardian On-Site Supervision Policy
I understand that a parent/legal guardian must remain on-site for the duration of my child’s appointment unless an alternative arrangement has been discussed with, and approved by, the clinician. If I need to leave the clinic at any time, I will notify the clinician or reception before leaving and remain contactable throughout the session. I acknowledge that the clinic is not responsible or liable for supervising my child in my absence. In the event of an emergency, I will be contacted immediately and emergency services (000) will be called.
I understand that it is my responsibility to return on time to collect my child at the end of their session if I leave the premises. If I am running late, I acknowledge that the session will still finish at the scheduled time.
Parent check-ins are often an important part of therapeutic intervention. If I will not be dropping off my child or will not be present during the session, I will inform the clinic in advance so the clinician can determine whether this arrangement is appropriate for my child’s needs.
If another person will be dropping off or collecting my child, I agree to notify the clinician or reception ahead of time. I understand that if we do not have consent to share information with this person, no session details or feedback will be discussed with them. If I require an overview or feedback about my child’s session, I may arrange a separate appointment with the clinician.
By attending services at Brilliant Minds Psychology, you acknowledge that you have read, understood, and agree to abide by the clinic’s policies, terms, and conditions of service. Please understand that a breach of any clinic policies, terms, or conditions may result in the suspension or termination of services.
